1. Introduction

Adtroo LLC (“Adtroo,” “we,” “us,” or “our”) operates the website adtroo.com and the application at app.adtroo.com (collectively, the “Service”). This Privacy Policy describes what personal information we collect, how we use it, who we share it with, and what rights you have. It applies to all users of the Service regardless of location.

By using the Service, you agree to the collection and use of information as described in this Privacy Policy. If you do not agree, do not use the Service.

2. Information We Collect

2.1 Account Information

When you create an account, we collect your first name, last name, email address, and password (stored in hashed form). When you create or join an organization, we collect the organization name.

2.2 Data You Upload

You may upload marketing spend data, sales and revenue data, and other files for analysis. These files typically contain aggregated marketing metrics (spend, impressions, clicks, revenue by date, channel, and market). Adtroo does not require or request personally identifiable information in uploaded files. However, we cannot control what you include in your uploads. Any data you upload is treated as User Data and handled in accordance with this policy and our Terms and Conditions.

2.3 Demo Scheduling Information

If you book a demo through our scheduling tool (Cal.com), we collect your name, organization, work email, and any optional information you provide in the booking form.

2.4 Usage Data

We automatically collect information about how you interact with the Service, including pages visited, features used, session duration, device type, browser type, operating system, and IP address (anonymized where applicable). This data is collected through Google Analytics, our session management system, and internal analytics.

2.5 Cookies and Tracking Technologies

We use cookies and similar technologies on our website and application. The following table describes what we use:

Analytics and marketing cookies (Google Analytics, LinkedIn Insight Tag, Meta Pixel) are managed through Google Tag Manager. You may opt out of these cookies through the cookie consent banner presented on your first visit, or by adjusting your browser settings. The session authentication cookie is strictly necessary for the Service to function and cannot be disabled while using the application.

3. How We Use Your Information

We use the information we collect for the following purposes:

(a) To provide the Service — processing your uploaded data, running analytical models, generating insights and recommendations, and powering the conversational interface.

(b) To manage your account — authentication, session management, organization membership, and communications related to your account.

(c) To process payments — managing subscriptions, billing, and payment processing through Stripe.

(d) To communicate with you — sending transactional emails (invites, two-factor authentication codes, account notifications) and responding to demo requests.

(e) To improve the Service — analyzing usage patterns, identifying bugs and errors, and developing new features.

(f) To measure marketing effectiveness — understanding how visitors find and interact with our website through analytics and advertising measurement tools.

(g) To provide support — Adtroo personnel may access User Data and analysis outputs for customer support, troubleshooting, and quality assurance purposes. Such access is limited to authorized personnel.

4. How We Share Your Information

We do not sell, rent, or share your personally identifiable information with third parties for their own marketing purposes. We share information only with the following categories of service providers, solely to operate and deliver the Service:

Each sub-processor is bound by contractual obligations to protect your data and use it only for the purposes described above. We may also disclose information if required by law, legal process, or government request, or to protect the rights, property, or safety of Adtroo, our users, or the public.

5. Google Workspace API Data — Limited Use

Adtroo's use of information received from Google Workspace APIs adheres to the Google User Data Policy, including the Limited Use requirements. Google Workspace API user data — raw, aggregated, or derived — is not used to develop, improve, or train generalized or foundational AI and/or machine learning models, and is not transferred or sold for that purpose. Where Adtroo uses AI features to assist users (e.g., analysis conversation), Google user data is used solely to provide those user-facing features at the user's request and is never used for model training.

6. Data Storage and Security

Your data is stored on servers provided by Neon (database) and Replit (application hosting), both located in the United States. We implement reasonable technical and organizational measures to protect your data, including encrypted data transmission (TLS/SSL), hashed password storage, role-based access controls, and session management. No method of electronic storage or transmission is 100% secure, and we cannot guarantee absolute security.

7. Data Retention

We retain your account information and analysis data for the duration of your active account. Following account termination, we retain data for a reasonable period for backup, archival, and compliance purposes. You may request deletion of your data at any time by contacting us at contact@adtroo.com. We will process deletion requests within 30 days, subject to any legal retention requirements.

8. Your Rights

8.1 All Users

Regardless of your location, you have the right to: (a) access the personal information we hold about you; (b) request correction of inaccurate information; (c) request deletion of your personal information; (d) withdraw consent for optional data processing (such as analytics cookies). 8.2 California Residents (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA): the right to know what personal information we collect, use, and disclose; the right to request deletion; the right to opt out of the sale of personal information (we do not sell personal information); and the right to non-discrimination for exercising your privacy rights. 8.3 European Economic Area, United Kingdom, and Switzerland (GDPR)

If you are located in the EEA, UK, or Switzerland, the following additional provisions apply:

Legal basis for processing: We process your personal data on the following legal bases: (a) contractual necessity — to provide the Service you requested; (b) legitimate interest — to improve the Service, ensure security, and measure marketing effectiveness; (c) consent — for optional cookies and marketing tracking, which you may withdraw at any time.

Data transfers: Your data is transferred to and processed in the United States. We rely on Standard Contractual Clauses (SCCs) approved by the European Commission as the legal mechanism for these transfers.

Additional rights: In addition to the rights listed in Section 8.1, you have the right to: data portability (receive your data in a structured, machine-readable format); restrict processing in certain circumstances; object to processing based on legitimate interest; and lodge a complaint with your local data protection authority.

9. International Data Transfers

Adtroo is based in the United States. If you access the Service from outside the United States, your information will be transferred to, stored, and processed in the United States. By using the Service, you consent to this transfer. For EEA/UK/Swiss users, transfers are governed by Standard Contractual Clauses as described in Section 8.3.

10. Children’s Privacy

The Service is not directed to individuals under the age of 16. We do not knowingly collect personal information from children under 16. If we become aware that we have collected personal information from a child under 16, we will take steps to delete it promptly.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email or through the Service at least thirty (30) days before they take effect. Your continued use of the Service after such notice constitutes acceptance of the updated Privacy Policy.

12. Government and law enforcement requests

Adtroo LLC reviews every request from a public authority for user data for legality before responding, challenges requests it considers unlawful, discloses only the minimum information necessary to comply, and maintains documentation of each request, its legal basis, the parties involved, and our response.
